相信讀者們都聽過「我們不能向上司 say no」這個說法,但如果理由合理,只要做足以下提及的幾個事項,就絕對可跟上司 say no。

1. Say no = Why you can’t say yes(說不 = 不能夠說yes的原因)
跟上司直接說不,不單止會令人感覺過分強硬,亦容易產生不必要誤會。相反,提出不能「say yes」的原因更易令人受落。
- 例子1:「Hello, Ms. Cheung. I just received your instructions, and I have some deep concerns about whether or not I would be of any help to you. There are a few exceptional reasons why that is…」(你好,張小姐。我剛剛收到指示,有點猶豫我是否能真的幫得上忙。因為以下的特殊原因…)
- 例子2:「Hello, Ms. Cheung. Thanks for involving me in your plan. However, there are a few things I must make aware to you before I make myself available.」(你好,張小姐,謝謝你讓我參與這個計劃。但是在幫忙前,我必須事先向你說明幾件事。)
- 例子3:「Hello, Ms. Cheung. I was just made aware of your request, and I’m afraid that I may not be the ideal person for the job you require because…」(你好,張小姐,我剛剛知悉你的請求。然而,恐怕我並不是這項目的最佳人選,因為…)
2. Give your reason(s)—「說不」一定要說得有道理
很多時候,員工向上司說不都不是因為懶惰,而是迫不得已。同樣地,上司的請求絕大部分也不是想強人所難,而是未能完全理解員工難處。所以,只要員工有合理理由,相信大部分上司並不會強迫下屬做事。以下是一些合理的職場疑慮。
- Personal (個人原因)例子:Due to personal reasons, I’m unable to help.
- Capacity(辦事能力或工作量)例子:I do not have the capacity to help at the moment.
- Lack of expertise (缺乏所需專長)例子:I lack the expertise that is needed for this project.
- Scheduling conflict(日程表衝突)例子:Because of scheduling conflicts, I’m unable to help.
3. Give a helpful follow-up(協助跟進)
如上司找員工跟進事項,這當然是一件好事。這代表上司認為員工能勝任工作,並將事情辦好。所以就算員工迫不得已要say no,也要盡量不讓上司對其失望。以下兩句說話,不妨考慮附上。
- 例子1:「However, I wish I may be of other help by supporting you in different ways.」(但是我希望能用其他方法提供協助。)
- 例子2:「Perhaps I may be of service in a different role other than you had in mind.」(或者我可以另一角色繼續協助你。)
